Boksit brings the day-to-day tools used to run trade work into one connected app. Instead of a quoting app, a spreadsheet for the job, a folder of PDFs and a separate way of telling the customer what has changed, the quote, the project, the extra work, the paperwork and the client's view of it all sit in the same place and share the same figures.

This page is the authoritative list of what Boksit currently does. Everything below is live functionality in the product today; where a capability has a limitation, it is stated plainly rather than left out.

Who Boksit is for

Boksit is built for tradespeople, contractors and small service businesses: from a sole trader quoting and invoicing on a phone between jobs, to a small contracting team running several projects at once with scope changes, RAMS, suppliers and clients who expect to be kept informed. It is not aimed at large enterprise construction management, and it does not assume you use every feature — most businesses start with Quotes and Invoices and add the rest as they need it.

Run the job

Everything that happens after work is accepted: the project's value, payments, changes in scope, progress, documents and what the client can see.

Project Centre

Project Centre is where a job lives once work is underway. It keeps the original project value, approved Additional Works, the revised project total, payments received and the outstanding balance in one place, alongside job costs, notes, project documents, progress and the client's access to the project. Because those figures are held together, changing the scope of the work updates the project position and the branded Project Report rather than leaving separate documents to reconcile by hand.

Additional Works

Additional Works is Boksit's workflow for work that appears after the original quote. Extra work is created against the Project and priced, then sent to the client through a secure link where they can review the detail and approve it by signing on screen. Approvals given verbally or by email can be recorded against the Project instead. Once an Additional Work is approved it is included in the approved Additional Works figure and the revised project total, and appears in the Client Portal and the Project Report.

Client Portal

The Client Portal is a secure link you share for a specific project. The customer sees the original project value, approved Additional Works, the revised project total, payments received, the outstanding amount, the progress recorded against the job, the list of approved Additional Works and the documents you have shared, and they can download the Project Report. It shows only that project's shared information — your other clients, projects, costs, suppliers, bookkeeping and business records are not exposed, and portal links are never indexed by search engines.

Project Reports

A Project Report is generated from the same project figures used everywhere else in Boksit, so the original value, approved Additional Works, revised total, payments received and outstanding balance agree with the Project Centre and the Client Portal. It is produced as a branded PDF that can be downloaded, shared with the customer or downloaded by them from the Client Portal.

Project progress updates

Progress recorded against a project is shown in the Client Portal, and a progress update can be sent to the customer directly from the project using reusable update content, so clients can be kept informed without writing the same message from scratch each time.

Payments and stage payments

Payments received are recorded against invoices and projects, including stage payments allocated across a job. Outstanding balances are calculated from the Amount Due — the net figure after discount, VAT and CIS — so the outstanding position shown on documents, in projects and in the Client Portal is consistent. Boksit records and tracks payments; it does not process card payments itself.

Pricing work, producing branded documents and getting paid, with reusable content so you are not rewriting the same job twice.

Quotes

Quotes are built from sections, each with its own description and its own Unit Breakdown of items, quantities and rates. Totals follow UK practice: labour, materials, subtotal, discount, net before VAT, VAT, total and CIS, ending with the Amount Due. Descriptions can be written with the AI Description Assistant or pulled from reusable Content Templates. Quotes generate a branded PDF that can be shared with the client through a secure link for online approval or rejection with a reason, duplicated for a similar job, saved as a Template, or carried forward into a Project.

Invoices

Invoices use the same sectioned structure and Unit Breakdown pricing as Quotes, with UK totals covering discount, VAT and CIS and a clear Amount Due. Payments and stage payments are recorded against the invoice, the status moves through Outstanding and partially paid states, and reminders can be sent for money still owed. Invoices produce branded PDFs, can be shared with the client through a secure link, duplicated, saved as a Template and exported for your accountant.

Content Templates

Content Templates hold the wording, sections and pricing structure you reuse. A Template can be created from scratch using the same editor as a live document, or copied from an existing Quote, Invoice, Purchase Order or RAMS. When copying, transaction-specific information such as client details and signatures is left behind, so the Template carries the reusable content only. Templates can be renamed, edited and starred, and using one creates a new editable document rather than a locked copy.

AI Description Assistant

The AI Description Assistant works inside the Quote and Invoice editors. It drafts a description from rough notes, improves or expands existing wording, and can rewrite only the part of the text you highlight rather than replacing the whole description. Suggestions are shown for you to read, edit and accept before anything is applied to the document, and the assistant learns from the edits you make so later suggestions read more like your own writing.

Client sharing

Documents are shared with customers through a secure link rather than a raw file attachment. Boksit can send that link by branded email with your HTML signature, or hand it to your phone's messaging app so you can text it. Because the link is tracked, you can see when it was opened. Shared links are private and are never indexed by search engines.

Signing and approvals

Approval happens on the customer's own device through a secure link. Quotes can be approved or rejected with a reason, Additional Works can be reviewed and signed on screen, and RAMS can be acknowledged by the operatives it was issued to. Approvals given another way, such as verbally or by email, can be recorded instead so the project record stays complete.

Document activity

Boksit records engagement with the documents you send, so you can see when a shared Quote, Invoice or other document was opened rather than guessing whether it arrived. Activity is shown against the document and surfaced in the dashboard's business activity feed.

Branded PDF generation

Quotes, Invoices, Purchase Orders, RAMS, Project Reports and folder summaries are generated as branded PDFs carrying your logo, business details, bank details and terms, laid out according to the document Template Design you have selected. Generated PDFs are stored so they can be reopened, downloaded or shared, and are regenerated when you choose to rebuild them from your current settings.

Plan work

Customer records, upcoming job dates and the reminders that keep chasing, bills and tasks from being missed.

Clients

Each client record holds contact and address details and opens onto a dashboard showing their documents, their projects and their total and outstanding value, with quick actions to start a new Quote, Invoice or Project for them. Client details flow into documents automatically, and duplicate client detection helps keep the list clean.

Scheduling

Scheduling holds the dates for upcoming work so jobs, visits and key dates are visible in one place rather than spread across a phone calendar and notes. Scheduling is a distinct capability from Project Centre: Scheduling answers when work is happening, while Project Centre holds the value, changes, payments and documents for the job itself.

Reminders

Reminders cover invoice chasing, bills to pay, tasks and scheduled dates. Due and upcoming reminders are counted and prioritised so items due today are separated from those coming up, and they appear on the dashboard alongside business activity. Invoice reminders can be sent to the customer from the invoice itself.

Business activity and notifications

The dashboard shows a rotating business activity feed that prioritises urgent reminders and unread notifications — such as a client opening a document you sent — before older activity. Tapping an item opens the record it refers to, so the feed acts as a route into the work that needs attention rather than a passive log.

Manage the business

Day-to-day business admin around the jobs: spending, supplier purchasing, and the files and notes that build up on every project.

Bookkeeping and expenses

Boksit provides lightweight business bookkeeping built around the jobs you are already running. Expenses and receipts are recorded against the business or a specific project, categorised, checked for duplicates and stored so they can be found again. A Bookkeeping Centre holds your tax year, VAT and category configuration and a health view of items still needing attention, and figures can be exported for your accountant.

Boksit is not accounting software. It does not file VAT or tax returns, run payroll, or replace an accountant or professional advice.

Receipt scanning

Photographing or uploading a receipt extracts details such as the supplier, date, line items, totals and VAT. The extracted result is presented for you to review and correct before it is saved against the business or a project, and receipts that still need checking can be kept in a review area and worked through individually or in batches. Receipts remain searchable after scanning.

Purchase Orders

Purchase Orders cover the buying side of a job. A Purchase Order records the supplier, the items being ordered and their pricing, and is produced as a branded PDF that can be sent to the supplier by email or messaging link. Purchase Orders can be saved as Content Templates for repeat orders and have their own layout settings, so recurring supplier orders do not have to be rebuilt each time.

Documents

Documents holds the PDFs Boksit generates — Quotes, Invoices, Purchase Orders, RAMS and Project Reports — alongside files you upload, such as certificates, scans and supplier paperwork, organised into folders including project folders. Documents can be reopened, downloaded and shared, images can be attached to generated documents as full pages, and recently viewed documents are cached so they can still be opened when you are offline.

Notes

Notes sit inside Documents and hold the written record around a job: customer and project notes, job costs and folder-based lists. A notes folder can be turned into a branded PDF summary, and where a folder is linked to a project it produces the canonical Project Report instead, so the figures stay consistent.

Accountant exports

Invoice and expense figures can be exported as a CSV file for a chosen date range, with the option to work by payment date, and previewed before download. An export can also be shared with your accountant through a secure link rather than emailing a spreadsheet around.

Site and safety

Risk Assessment and Method Statement documents produced from reusable content and issued to the people on site.

RAMS Templates

RAMS Templates hold reusable risk assessment and method statement content so safety documentation does not have to be rewritten for every job. A Template can be created from scratch or copied from an existing RAMS document, and trade-specific pre-fill content is available as a starting point. Using a Template creates a new editable RAMS that you adapt to the specific site and job.

RAMS

RAMS documents are created inside Boksit from reusable content and adapted to the specific site and job, recording client, site and job information alongside the risk assessment and method statement detail. The finished RAMS is produced as a branded PDF laid out to avoid awkward page splits, can be shared with a client or site contact as a secure view link, and can be issued to operatives who acknowledge it through their own link, with the acknowledgements recorded against the document. Boksit provides the tooling to produce and issue RAMS; responsibility for the content and its suitability for the work remains with the business, and Boksit does not certify, assess or guarantee compliance.

Business settings

Settings hold the information that appears on everything you send: business profile and contact details, logo and branding, bank and payment details, default terms and email preferences including your branded HTML signature. Set once, these details flow through Quotes, Invoices, Purchase Orders, RAMS and Project Reports.

Document Template Designs

Document Template Designs control how a generated PDF looks — layout, presentation and branding — and are deliberately separate from Content Templates, which control what a document says. Designs can be selected, edited, duplicated and previewed on demonstration data, with a dedicated layout editor for Purchase Orders, and new accounts start from a sensible default.

Control Centre section visibility

The Control Centre governs which sections appear on your documents, so a business that never applies CIS, a discount or a particular breakdown does not have to look at those sections. Toggles are saved with the document settings, keeping documents consistent with how you actually work.

Offline working with manual sync

Boksit is built for sites with poor signal. Connectivity is tracked as online, degraded or offline, saves fall back to a local queue rather than failing silently, recently viewed documents and lists remain available, and a clear banner shows what is waiting. Syncing is a deliberate action you take, not something that happens quietly in the background.

Sync is manual by design — Boksit does not sync silently in the background, and queued work must be synced by the user.
