Quotes and Invoices

Quotes are built from sections, each with its own description and its own Unit Breakdown of items, quantities and rates. Totals follow UK practice: labour, materials, subtotal, discount, net before VAT, VAT, total and CIS, ending with the Amount Due. Descriptions can be written with the AI Description Assistant or pulled from reusable Content Templates. Quotes generate a branded PDF that can be shared with the client through a secure link for online approval or rejection with a reason, duplicated for a similar job, saved as a Template, or carried forward into a Project.

Projects and Additional Works

Project Centre is where a job lives once work is underway. It keeps the original project value, approved Additional Works, the revised project total, payments received and the outstanding balance in one place, alongside job costs, notes, project documents, progress and the client's access to the project. Because those figures are held together, changing the scope of the work updates the project position and the branded Project Report rather than leaving separate documents to reconcile by hand.

Scheduling and Reminders

Scheduling holds the dates for upcoming work so jobs, visits and key dates are visible in one place rather than spread across a phone calendar and notes. Scheduling is a distinct capability from Project Centre: Scheduling answers when work is happening, while Project Centre holds the value, changes, payments and documents for the job itself.

RAMS

RAMS documents are created inside Boksit from reusable content and adapted to the specific site and job, recording client, site and job information alongside the risk assessment and method statement detail. The finished RAMS is produced as a branded PDF laid out to avoid awkward page splits, can be shared with a client or site contact as a secure view link, and can be issued to operatives who acknowledge it through their own link, with the acknowledgements recorded against the document. Boksit provides the tooling to produce and issue RAMS; responsibility for the content and its suitability for the work remains with the business, and Boksit does not certify, assess or guarantee compliance.

Client Portal

The Client Portal is a secure link you share for a specific project. The customer sees the original project value, approved Additional Works, the revised project total, payments received, the outstanding amount, the progress recorded against the job, the list of approved Additional Works and the documents you have shared, and they can download the Project Report. It shows only that project's shared information — your other clients, projects, costs, suppliers, bookkeeping and business records are not exposed, and portal links are never indexed by search engines.

Bookkeeping

Boksit provides lightweight business bookkeeping built around the jobs you are already running. Expenses and receipts are recorded against the business or a specific project, categorised, checked for duplicates and stored so they can be found again. A Bookkeeping Centre holds your tax year, VAT and category configuration and a health view of items still needing attention, and figures can be exported for your accountant.

Boksit is not accounting software. It does not file VAT or tax returns, run payroll, or replace an accountant or professional advice.

Purchase Orders

Purchase Orders cover the buying side of a job. A Purchase Order records the supplier, the items being ordered and their pricing, and is produced as a branded PDF that can be sent to the supplier by email or messaging link. Purchase Orders can be saved as Content Templates for repeat orders and have their own layout settings, so recurring supplier orders do not have to be rebuilt each time.

Documents and Notes

Documents holds the PDFs Boksit generates — Quotes, Invoices, Purchase Orders, RAMS and Project Reports — alongside files you upload, such as certificates, scans and supplier paperwork, organised into folders including project folders. Documents can be reopened, downloaded and shared, images can be attached to generated documents as full pages, and recently viewed documents are cached so they can still be opened when you are offline.

Templates

Content Templates hold the wording, sections and pricing structure you reuse. A Template can be created from scratch using the same editor as a live document, or copied from an existing Quote, Invoice, Purchase Order or RAMS. When copying, transaction-specific information such as client details and signatures is left behind, so the Template carries the reusable content only. Templates can be renamed, edited and starred, and using one creates a new editable document rather than a locked copy.

Boksit AI

The AI Description Assistant works inside the Quote and Invoice editors. It drafts a description from rough notes, improves or expands existing wording, and can rewrite only the part of the text you highlight rather than replacing the whole description. Suggestions are shown for you to read, edit and accept before anything is applied to the document, and the assistant learns from the edits you make so later suggestions read more like your own writing.

Interactive Demo

The Interactive Demo runs the actual Boksit interface on a fictional business: made-up clients, quotes, invoices, projects, receipts and reminders. It needs no account and no payment details, nothing you do is saved, and it lets you see how Quotes, Projects, Additional Works, Documents and RAMS behave before entering any real business or client information.

The customer asks for extra work

In separate systems that means a new quote, a note to yourself, an updated total somewhere and an awkward conversation at the end. In Boksit the Additional Work is priced against the project, sent for the client to sign, and once approved it changes the revised project total, the Client Portal and the Project Report.

The client asks where things are up to

Rather than compiling an update, you share the Client Portal link for that project. They see progress, approved Additional Works, payments and the outstanding amount, and can download the Project Report themselves.

A stage payment lands

The payment is recorded once. The invoice status, the project's outstanding balance and what the customer sees all follow from the same Amount Due figure, so there is nothing to reconcile.

You quote a job like one you did last month

A Content Template carries the wording, sections and pricing structure across, and the AI Description Assistant adapts the description to this job. The Template Design keeps the PDF looking the same as everything else you send.

You need RAMS before starting on site

The RAMS is built from reusable content in the same app, issued to the operatives working on that job, and their acknowledgements are recorded against the document alongside the project's other paperwork.

The accountant asks for figures

Expenses and receipts have been recorded against jobs as you went, so invoice and expense figures export as CSV for a date range instead of being reconstructed at the end of the year.
